Background

Earlier this year, the City was approached by Brentwood Baseball, Inc. (also known as the Brentwood Ball Club) regarding the desire to install two artificial turf fields at Fourplex 2 in Crocket Park. Artificial turf provides the advantage of decreasing the number of unplayable days due to inclement weather and minimizing maintenance and field preparation time. This results in more games played and fewer inconveniences for Ball Club players and families. The Ball Club has proposed to provide half ($450,000) of the estimated $900,000 needed to purchase and install the turf and has committed to annual funding to cover half of the future replacement cost. The other half of both the initial installation and the replacement cost would be covered by the City.

The attached Memorandum of Understanding (MOU) is a non-binding agreement outlining the good-faith expectations of both parties such that the City can proceed with the procurement phase of the project. The City will be the party to contract for the turf installation in consultation with Ball Club representatives. The City hopes to have the project completed by March 15, 2022, though current supply chain challenges may necessitate additional time. The Ball Club is prepared to adjust their programming accordingly if necessary.

A total of $900,000 was budgeted in the FY 2022 Capital Projects Fund Budget in anticipation of this project, though actual project costs will not be known until turf field proposals are received. Funds will not be obligated until the City Commission approves a contract with a vendor.
