Approval to purchase Motorola annual maintenance for the radio system.

Background

In July 2014, the Board of Commissioners approved Resolution 2014-52 which approved an interlocal agreement that formally created the Williamson County Joint Communication Network Authority. This Authority is governed by a nine-member board with three representatives from each participating local government - Brentwood, Franklin, and Williamson County. In November 2016, a contract was signed by the Authority with Motorola to install a 12-site, 14-channel 700Mhz radio system. The system went live in January 2020 and today has over 2,700 radios on the system.

Because the first year of maintenance services was included in the original contract pricing, the first payment for ongoing system maintenance and support was not due until July 2021. The annual cost of this annual maintenance is divided among Brentwood, Franklin and Williamson County. The annual cost includes SUA II (System Upgrade Agreement) pricing is for the periodic software upgrade of system components of our radio network and is part of a seven-year plan with Motorola to keep our radio system operating with current software versions and includes hardware upgrades every two years. Brentwood's portion of the SUA II is $60,070.00 per year. The annual maintenance cost is also divided between the three agencies with Brentwood's share being $133,692. Therefore, Brentwood's total cost is $193,762.

Staff Recommendation

Staff recommends paying $133,692.00 for annual maintenance and $60,070.00 for the SUA II to Motorola for annual maintenance for the radio system.
