Background

As you may recall, the City will soon be implementing a new integrated library system software recently approved by the Board of Commissioners. This software is called Polaris LEAP. The Hardware Migration amendment (attached) is necessary due to updating the servers that Polaris lives on currently. Polaris currently resides on Windows 2012 R2 Server software. We need to upgrade that Operating System software to the newest Server OS which is Windows Server 2019. This is for security and compatibility purposes. The software will no longer be supported by Microsoft after 2023, which means there would be no security updates.

The fee for this migration is $1,800. This includes Innovative setting up their software and moving the SQL database for Polaris to the three new servers that our Technology Department will be preparing for the migration. This includes setting up the new Lib-Polaris production server, Lib-Polaris-Web (catalog) server and the Lib-Polaris Test server, plus migrating the data from the old Windows 2012 Polaris servers over to the new 2019 Polaris servers. The LEAP functionality will be migrated also, since they have already installed that on the old servers. This is a one-time fee.

The second aspect to the amendment (also attached) is the provision of 40 hours of free training for the library staff. There is no cost to the City for this service.

Staff Recommendation

Staff recommends the approval of an amendment to the agreement with Innovative Interactive Interfaces, inc. previously approved on June 14, 2021.
