Background

On August 13, 2018, the City Commission approved resolution 2018-65 - Approval of Contracts for Consolidated Copier Services with RJ Young. Subsequent to that approval and an addendum approved on September 27, 2018 as part of the copier replacement process, it was determined that the Police Department is in need of an additional copier and software. The need for an additional copier came about with the move of Captain Alan Hardcastle and Jim Montgomery to the west end of the Municipal Center building with no interior access to the rest of the building. Captain Hardcastle and Jim Montgomery are involved in training for the Police Department which requires large volume of scanning and copying. In order to be more efficient, the Police Department staff has requested an additional copier, including software added for Papercut and Globalscan. The copier requested is a Ricoh IMC3000 which is also a printer, fax machine, and a scanner.

The additional monthly cost is $105.00 for the copier lease and $50.00 for the software maintenance, a total annual increase of $1,860 per year. This will increase equipment lease payments from $1,741 per month to $1,846 per month and software maintenance costs from $215 to $265 per month. Total annual cost of RJ Young leased copiers and software maintenance will be $25,332.00.

Staff Recommendation

Staff recommends approval of the accompanying RJ Young addendum to resolution 2018-65.
