Purchase approval for an annual maintenance support with Central Square for Enterprise CAD, RMS, and Crime Mapping for FY 2024

Background

This agenda item authorizes annual software maintenance agreements with Central Square for multiple police relateds software systems.

In 2016 the Emergency Communications District purchased new Computer-Aided Dispatch (CAD) software from Tri-Tech (now Central Square). The maintenance charges are due at the beginning of each fiscal year. CAD software is vital for public safety to function in an effective and efficient manner. This maintenance agreement is for the period beginning July 1, 2023, and ending June 30, 2024. The CAD maintenance coverage, at a cost of $118,573.10, is detailed in the attachment with the invoice.

The Police Department requests approval to pay for Enterprise (formerly Inform) RMS annual maintenance for FY 2024 at a cost of $17,832.03. This annual maintenance cost is for Records Management Software provided by Central Square. The software has been used by the Police Department for several years and was originally purchased under the GSA purchasing cooperative.

Finally, the Police Department requests approval to pay for CrimeMapping.com annual maintenance for FY 2024. This annual maintenance cost of $842.37 is for Crime Mapping software provided by Central Square. The software has been used by the Police Department and by citizens for several years to track where crimes are occurring in the city. This information is available for viewing on the Police Department website.

The total amount to be paid to Central Square for the above for FY 2024 is $137,247.50. Please contact the Chief of Police with any questions.

Staff Recommendation

Staff recommends approval of the purchase with CentralSquare Technologies for Computer-Aided Dispatch (CAD), Record Mangement System, and Crime Mapping Annual Maintenance for FY 2024.
