Background

Polaris is the Integrated Library System from Innovative Interfaces, Inc. that the Library has used since 2012 for all functions related to serving the public. The current agreement with Innovative Interfaces, Inc. is an annual contract that auto-renews each year unless a 60-day notice is provided by either party.

Prior to this year's renewal, Library staff reviewed Integrated Library System products provided by other vendors, such as Symphony by SirsiDynix, and Atriuum by Book Systems, Inc. The decision was made to remain with Innovative Interfaces and move to their web-based platform known as Polaris Leap. As a browser-based system, this product provides greater ease and flexibility in accessing library collections remotely.

The proposed contracts (attached) cover licensing and subscription requirements for the system, and have a 5-year initial term commencing on July 1, 2021. Annual renewals for 1-year terms are allowed thereafter. The initial 5-year term will save the City 2% on annual maintenance costs.

Staff Recommendation

Staff requests approval of the attached resolution approving licensing and subscription agreements with Innovative Interfaces, Inc. for the Polaris Leap Integrated Library System.
