Approval to purchase furniture for Fire Station 5 from Office Resources, Inc. (ORI)

Background

As part of the initial planning for Fire Station 5, which is currently under construction and planned for completion in fall of 2022, staff worked with the design team to identify preferred furniture configurations and product lines. This included showroom visits and product samples from several office furniture manufacturers to help narrow down the features, finishes, durability, and reliability standards desired by the department. The goal was to identify the product lines that provided the best combination of functionality, look, durability, and cost given the expected 24-hour occupancy and use of the various spaces within the building. This effort resulted in the identification of various product lines including Steelcase, Moduform, and AMQ as best fitting the needs of the project. These product lines are available under the Sourcewell purchasing cooperative from a local representative: Office Resources, Inc. Note that the City cannot buy direct from the manufacturer, but must purchase through the local representative.

While purchasing under the cooperative eliminates the need for sealed competitive bidding, staff still felt it was necessary to obtain options and pricing from various manufacturer representatives. Proposals were obtained from both Office Resources, Inc. (ORI) and Synergy Business Environments (SBE). The quality, options, and customer service provided by ORI was deemed to be the best choice for this project. ORI pricing also came in approximately 11% lower than SBE. The SBE quote is also included for your review. Based on these results, staff and the design team selected Steelcase, Moduform, and AMQ as the primary furniture line for the project and began working with ORI to fully specify all furniture for the facility. They were able to provide furnishings for all spaces including offices, bunk rooms, kitchen/dining room, and day room.

The final price quote from ORI for Station 5 totals $39,119.91 as summarized in the attached ORI quote. If you have any questions, please contact the Fire Chief.

Staff Recommendation

Staff recommends approval of the purchase and installation of furniture by Office Resources, Inc. for the Fire Station 5 project.
