Background

The John P. Holt Brentwood Library is cooled by two large outdoor chiller units in the warmer months. The larger of those units, a 1997 Trane 185-ton pad-mounted unit with Model #R1AA1854XN01A3DF and Serial # U97L06566, is being replaced by Precision Mechanical & Control, LLC via the City's building management firm, Cushman & Wakefield. The cost for replacing the chiller and controls is $340,000, and was included in the adopted 2022 Annual Budget. Cushman & Wakefield obtained multiple quotes for this equipment and its installation.

The new chiller unit will arrive on an 18-wheel flatbed trailer and will be off-loaded by crane. The old unit will have to be removed and discarded. The cost to have the unit removed is estimated to be between $4,000 and $6,000 due to the need to use a crane and tractor trailer. Therefore, staff and Cushman & Wakefield have determined that the most efficient and economical method of disposal of the old chiller unit is to allow the contractor to have the unit for the cost of disposal. Therefore, staff believes it is in the best interest of the City to declare the above-described chiller to be surplus property and authorize disposal to Precision Mechanical & Controls, LLC.
