Approval to Purchase Nesting Tables for the Library Meeting Rooms from Office Furniture and Related Services

Background

In 2017 the Library had 528 library programs and/or outside groups meet in Meeting Room A, and 866 in Meeting Room B. Both rooms require set-up and take-down of tables and chairs for each meeting or program. While the chairs are easily handled by the groups and staff, the tables are not. The existing tables weigh 40 pounds apiece and must be removed from mobile table carts that cannot be moved efficiently without two people assisting. They are stacked horizontally so that a full cart of 12 tables is well above five feet in height. There is always a possibility that moving the tables could result in physical injuries for both the public and staff.

The Friends of the Brentwood Library have provided funding of $31,000 to the Donations Held in Trust Fund so that the meeting room tables can be replaced with a more user-friendly and safe alternative. After evaluating the available products to meet this need, it was determined the attached quote from Office Furniture + Related Services (Nashville, TN) provides the best combination of functionality, weight, durability, and style. This purchase is available using contract pricing provided through The Interlocal Purchasing System (TIPS), a purchasing cooperative. Membership in the cooperative is requested under separate cover on this agenda. The total purchase price, including delivery and installation, for 55 tables is $20,129.24.

Staff recommends approval to purchase nesting tables from Office Furniture and Related Services through the TIPS purchasing cooperative at a cost of $20,129.24.
