Attached are the recommended operating policies and procedures for use of the Ravenswood Mansion. The policies and procedures were discussed at the November 7th City Commission informational meeting, along with the revised policies and procedures for the Cool Springs House. As discussed at the meeting, a new policies and procedures document has been developed for the Ravenswood Mansion and must be adopted before staff can begin marketing and renting the facility. The documents for each historic house are similar in content but tailored for each house.
With the opening of Marcella Vivrette Smith Park and the restoration of the Ravenswood Mansion and surrounding area, an official policies and procedures document is needed for the use and rental of the house and grounds. Staff researched and compared the use policies and procedures for similar facilities in the Williamson County/Nashville area. The comparison included available space, amenities, capacity, permitted uses, rental fees, reservations, insurance requirements, cleaning charges, deposits, site supervision and policing requirements. This research and the City’s experience with the Cool Springs House were instrumental in the development of the Ravenswood policies and procedures.
Included in the policies and procedures are the following recommended rental rates for the Ravenswood Mansion:

The proposed policies and procedures provide more details regarding other important operating issues including cancellation policies, alcohol use policies, insurance requirements, and facility use policies (i.e. tents, music, etc.).
Once the policies and procedures are adopted, it is possible that some unexpected situations may arise that will require some minor flexibility in the implementation of these policies. Staff recommends that the City Manager be given the discretion to approve minor operational adjustments/additions as needed for the efficient operation and protection of the historic home. Major policy changes such as changes in rental rates will be brought to the Board of Commissioners for approval prior to implementation.
